Responsibilities will include:
  • Assist EA with personal and business calendar management for principal and family review schedule daily and take any necessary action, such as car service; order meals; send reminders, etc.
  • Primary phone coverage
  • Review and sort through mail and invoices and coordinate payments through Member Services department
  • Confirm weekly appoints and weekend activities
  • Respond to invitations
  • Schedule all medical appointments
  • Run daily errands; online purchases; prescriptions; meet vendors at apt; drop off returns, etc.
  • Research gifts and make purchases
  • Print and prepare board materials
  • Work with domestic staff to coordinate events/activities
  • Coordinate drivers daily for pickups and drop offs and errands
  • Update and maintain contacts info and create custom reports as needed
  • Help organize family trips and vacations and coordinate logistics/activities
  • Manage children's school events and extracurricular activities calendar
  • Help with coordinating homework and school materials for projects daily during school year
  • Walkthrough apartment on a weekly basis to make sure everything is in order
  • Coordinate vendors for repairs and maintenance and maintain oversight
  • Coordinate with groundskeeper on projects
  • Coordinate with IT on tech related household projects and troubleshoot tech issues
  • Update properties contacts list
  • Manage online photo albums
  • Coordinate service and repairs for cars
  • Help sign up children for classes (application forms for school, etc.)
  • Help with processing medical claims
  • Prepare monthly Amex and MC expense reports and cash expense reports

Requirements
  • Bachelor's degree required
  • 2-5 years of administrative experience from a role with heavy PA component preferably from an office environment (but not required)
  • Candidate should want to work as #2 and is really willing to learn from primary assistant
  • Strong common sense, is very conscientious, can pick up on queues and is sharply intuitive
  • Knows to ask questions first and respects that the family needs to make all decisions
  • Shows flexibility as tasks and projects can require last minute changes and execution
  • No job too big or too small mentality
  • Must have thick skin yet maintain a professional, calm and pleasant demeanor
  • Open to go to the homes to oversee vendors
  • Relevant experience with travel planning, especially for families with children; thinking through logistics and finalizing itineraries
  • Understands team concept - can work very closely with and take direction/guidance from EA/PA
  • Detailed; organized; strong work ethic (weekends are required when family is traveling); reliable; accountable and understands 24/7 concept
  • Maintains high level of confidentiality
